Datatype
The type of data are defined as follows:

Chains of Characters: It is a list of characters.

The DD / MM / YYYY format where DD is the day, MM is the month and YYYY is the year. The date must have numbers and must be divided by a diagonal.
Our spreadsheet has the format DD / MM / YYYY.

  1. Decimal: They are numbers with two decimal points, they are mostly used for the cells corresponding to deposits or withdrawals.
  2. Number / Quantity: The whole amount can be used in withdrawals or deposits but you must be careful because the result can be rounded.
  3. Third: This type of data is to indicate when a cell contains the RFC or the name of the company. No need to worry because this type of data is not found in Openbravo, it does not throw error and place it as empty. In the example in cell 5 we have the Third data type and in the cells we have the RFC or the name of the company.

Corresponds
These are the fields where each of the cells in our spreadsheet will be mapped. The fields are the following and must have the following formats to avoid possible errors:

Date of transaction: It is the date in which the deposit or withdrawal was made and it must have a Date data type.

Third: It is the name of the company. The data type must be Third and the cell must contain the RFC or the name of the company.
Reference number: The data type must be “Character Chains”.
Withdrawal: Must be the Decimal data type to avoid rounding
Deposit: Must be the Decimal data type to avoid rounding

Get Variables from Character String

If within a character strings you want to obtain specific information, you can shorten the string by using the “Get Variables from Character String” option.

If this checkbox is selected, two new fields called “Prefix before the variable” and “Ignore Characters at the end of the Chain” will be opened.

This option can be used to obtain the RFC or the reference number when these data are within the description.

For example, if we have the following description:

RENT TEGIK RFC: TEG010101SE Numerical Reference: 0012345 Authorization: 00077077.

You can obtain the data “0012345” and TEG010101SE by shortening the description.

Here’s how you can get the reference number and the RFC by shortening the description.

Prefix before the variable

It is the field where you must indicate from where you should start the string of characters. We have the following description and we want to obtain the reference number. .

RENT TEGIK Numerical Reference: 0012345 Authorization: 00077077.

In the Prefix field, “ica:” is placed and the new string will be

0012345 Authorization: 00077077

It should be considered that in this field you must specify more than three characters to avoid coincidences with others and also avoid accents.

If this field is empty, the chain will be taken complete and will not be shortened.

Ignore Characters at the end of the Chain

If this checkbox is selected, two new fields will be opened, which are “Suffix” and “Number of Characters”.

Suffix

It is a field where you must indicate from where you must end the string of characters.

In the above example you still do not have the reference number, you still have to remove “Authorization: 00077077.” The complete string so far is as follows:

0012345 Authorization: 00077077.

If in the Suffix field we put “Aut:” The new string will be

0012345

In the same way as the above one, consider entering more than three characters.

Now you have the reference number from the character string.

In this field the number of characters to be taken after the prefix is ​​indicated.

For example you have the following description where you want to obtain the RFC of the company.

RENT TEGIK RFC: TEG010101SE Numerical Reference: 0012345 Authorization: 00077077.

In the first field called prefix, “RFC” must be placed. If you leave this option, you will have the following character string.

TEG010101SE Numerical Reference: 0012345 Authorization: 00077077.

All RFCs in the document have only 11 characters, this instruction must be placed in the Number of Characters to obtain the RFC only. At the end the description will be shortened as follows.

TEG010101SE

Once you have the RFC, it is necessary to indicate that it is a third data type and corresponds to a third party.
